1. Introduction

These Terms and Conditions ("Terms") govern your use of DentistsWebDesign.co.uk (operated by Infodots Services LLP, registered in England and Wales) and the website design services we provide to dental practices in the United Kingdom.

By submitting an enquiry, making a payment, or engaging our services, you confirm that you have read, understood, and agree to be bound by these Terms in their entirety.

2. Services

DentistsWebDesign.co.uk provides website design, development, and related digital services specifically for dental practices in the United Kingdom. Our services include:

  • Custom website design and development
  • Responsive mobile-optimised design
  • Search engine optimisation (SEO) setup
  • Content writing and copywriting
  • Logo design (where included in package)
  • Domain registration and setup
  • Web hosting (first year included)
  • SSL certificate installation
  • Google Analytics and Search Console setup
  • Website maintenance and support

3. Payment Terms

3.1 Payment Requirement

100% payment is required upfront before any work commences. Payment must be received in full to secure your project slot and initiate the design process.

3.2 Payment Method

Payment must be made via UK bank transfer to our company bank account. Bank details will be provided in your invoice after project scope has been agreed and acknowledged in writing by both parties.

3.3 Booking Your Slot

Your project slot is only confirmed upon receipt of full payment. Until payment is received, we cannot guarantee availability or timeline commitments.

3.4 Currency

All prices are quoted in British Pounds Sterling (GBP). The client is responsible for any bank transfer fees charged by their financial institution.

3.5 Invoice and Receipt

A VAT invoice (where applicable) will be issued upon payment. Project commencement is triggered only after payment has cleared into our account.

4. Cancellation and Refund Policy

4.1 No Refunds Once Work Commences

No refunds or cancellations are permitted once project work has commenced. Work is deemed to have commenced upon receipt of payment and initial project planning/consultation. By making payment, you acknowledge and accept this policy.

4.2 Cancellation Before Payment

You may cancel your enquiry at any time before payment is made, with no obligation or penalty.

4.3 Cancellation by Us

In the unlikely event that we need to cancel the project before work commences, a full refund of any payments made will be provided within 14 business days.

4.4 Project Abandonment

If the client fails to provide required materials, content, or feedback for a period exceeding 60 days after repeated requests, the project will be deemed abandoned. No refund will be provided, and any completed work will be delivered as-is.

4.5 Cooling-Off Period

As our services are bespoke digital content created to your specifications, the Consumer Contracts Regulations 2013 cooling-off period does not apply once work has begun. By making payment, you expressly consent to work commencing immediately and acknowledge that you lose the right to cancel.

5. Intellectual Property

5.1 Full Code Ownership

Upon receipt of full payment and project completion, you will own 100% of the website code, design files, and all associated digital assets created specifically for your project. This includes HTML, CSS, JavaScript, and any custom functionality.

5.2 No Lock-ins or Ongoing Fees

There are no mandatory monthly fees or ongoing charges for code ownership. The website is yours to host, modify, transfer, and use as you see fit. You may take your website to any hosting provider at any time.

5.3 Third-Party Assets

Any third-party assets used (stock images, fonts, plugins) will be properly licensed for your commercial use. Details of all third-party licenses will be provided upon project completion.

5.4 Portfolio Rights

We reserve the right to display your completed website in our portfolio and marketing materials unless otherwise agreed in writing prior to project commencement.

6. Project Timeline and Delivery

6.1 Estimated Timelines

Delivery timelines provided are estimates only. Actual delivery depends on timely provision of content, materials, and feedback from the client. Our standard delivery timeframe is 2-4 weeks from receipt of all required materials.

6.2 Client Delays

We are not responsible for delays caused by the client's failure to provide materials, content, feedback, or approvals in a timely manner. Extended delays may result in project rescheduling.

6.3 Revision Rounds

Each package includes a specified number of revision rounds (typically 2 rounds). Revisions beyond the included allocation will be charged at our standard hourly rate, quoted in advance.

7. Client Responsibilities

The client agrees to:

  • Provide all necessary content, images, logos, and materials in a timely manner
  • Respond to queries and approve designs within reasonable timeframes (5 business days)
  • Ensure all provided content is accurate, lawful, and does not infringe any third-party rights
  • Comply with all applicable laws and regulations, including GDC and dental advertising standards
  • Provide accurate information about their dental practice for display on the website
  • Maintain appropriate professional indemnity and liability insurance

8. Hosting and Maintenance

8.1 First Year Free

The first year of hosting is included in your package at no additional cost. This includes SSL certificate, basic security monitoring, and technical support.

8.2 Optional Maintenance After Year 1

After the first year, optional maintenance plans are available starting from £99/month. These are entirely optional - you may choose to self-host, use another provider, or continue with our maintenance services.

8.3 Transfer Rights

You may transfer your website to any hosting provider at any time. We will provide all necessary files and assist with migration upon request.

9. Limitation of Liability

To the maximum extent permitted by law:

  • Our total liability shall not exceed the amount paid for the services
  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages
  • We are not liable for any loss of profits, revenue, business, or data
  • We are not responsible for third-party services, hosting outages, or domain registrar issues

10. Warranties and Disclaimers

We warrant that our services will be provided with reasonable skill and care. However, we do not guarantee:

  • Specific search engine rankings or SEO results
  • Any particular level of website traffic or conversions
  • Continuous, uninterrupted website availability
  • That the website will be free from all errors or security vulnerabilities

11. Confidentiality

Both parties agree to keep confidential any proprietary or sensitive information disclosed during the project. This obligation survives the termination of our agreement.

12. Governing Law and Disputes

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before initiating legal proceedings, both parties agree to attempt to resolve disputes through good faith negotiation.

13. Amendments

We reserve the right to update these Terms at any time. Changes will be posted on this page with an updated revision date. Continued use of our services after changes constitutes acceptance of the revised Terms.
